We’re now looking for someone super organised to become the backbone for our team. You’ll make all the arrangements for the events we run, booking in meetings, coaches, lunches and rooms based on the wish list we send you. You won’t need to be present during the event itself, but you will need to clearly communicate with all involved parties beforehand, to make sure things run smoothly.

You’ll also assist the team on an ongoing basis, communicating with the outside world to set up phone calls, sending out invoices, establishing the tech setup for presentations and more.

If you’re methodical, switched on and a fast learner, you have everything you need to do this role.

We are a small, fast growing team – we’re ideally looking for someone who’s hungry to grow their skills, experience, responsibility and salary with us.

Your role

You’ll be responsible for the following activities:

Project management

– Organise and book in everything needed to make our retail safaris and events happen – everything from meetings, room hire, buses, additional assistance and group meals. We will provide you with a list of things to organise – it’ll be your job to book it in.

 

Team support

– Set up interviews and phone calls for other team members

– Research and book flights and accommodation for other team members

– Liaise with events managers to clarify project brief and tech setup for presentations

– Update other team members with status of projects

– Devise potential solutions to challenges our business faces, research options and present recommendations in note form

– Carry out online research

– Invoice clients (using information and templates we’ll provide)

– Send out form emails and set reminders to follow up

– Other admin and project support

 


Person specification

Essential attributes – you MUST:

– Be extremely well organised, with a high level of attention to detail

– Be comfortable speaking to anyone on the phone – you will spend a fair amount of each day on the phone

– Be a proactive problem solver

– Be comfortable using and teaching yourself to use new computer interfaces (eg Google Drive, Google Calendar, Chrome plugins, PayPal, Trello, other systems as required)

– Be self-motivated

– Be a fast learner

 

It’s not essential, but it’d be great if you:

– Have excellent spelling and grammar

– Have previous experience of managing and co-ordinating others

– Have sales experience, or are interested in persuading others

– Are interested in business, retail, strategy and/or innovation

– Have an eye for design and layout
